Billing, Credits and Cancellation Policy
Last updated November 1, 2026
Plan credits refresh monthly and don't roll over; purchased credits don't expire. Plans, top-ups, Auto Top-Up and archive storage are cancelled separately in your account settings.
1. Prices and payment
Prices are shown in US dollars on our pricing page and in the Service, and do not include sales taxes. Before you pay, we show the price, what the purchase provides, whether it is a one-time or a recurring charge, and any tax that applies.
Payments are processed by Stripe. By making a purchase, you authorise us, through Stripe, to charge your payment method for that purchase and, for recurring purchases, for each renewal until you cancel. Your card details are handled by Stripe and are not stored by Epifany.
The name of the business shown on your card statement identifies Epifany. If you do not recognise a charge, contact support@epifanylabs.com.
2. Sales taxes (GST/HST)
Epifany is operated by a business registered for the Goods and Services Tax / Harmonized Sales Tax (GST/HST) in Canada. Applicable sales taxes are added to the price at checkout and shown before you pay. The tax is based on the billing address you enter at checkout:
- Ontario: 13% HST.
- Other Canadian provinces and territories: the HST rate of your province (Nova Scotia, New Brunswick, Newfoundland and Labrador, Prince Edward Island), or 5% GST elsewhere, plus any provincial sales tax we are required to collect.
- Outside Canada: Canadian GST/HST does not usually apply to services supplied to customers outside Canada. Taxes of your own country may apply where we are required to collect them.
Tax applies to every taxable charge, including renewals, recurring top-ups, Auto Top-Up purchases and archive storage. Recurring and automatic charges use the billing address saved with your account; keep it up to date in your billing settings. If tax rates change, the new rate applies to charges made after the change.
Business customers can enter their tax registration number at checkout so that it appears on their receipts. Receipts show the tax charged.
3. Credits
Credits are used to pay for video processing. The number of credits a job needs is shown before you start it. Credits have no cash value, cannot be exchanged for money, and can be used only for the Service.
There are two kinds of credits:
- Plan credits come with a subscription plan. They refresh each month; unused plan credits do not roll over to the next month.
- Purchased credits come from one-time credit packs, recurring monthly top-ups and Auto Top-Up. They carry over from month to month and do not expire while your account is open.
Promotional credits, if offered, follow the terms stated with the promotion.
4. Subscription plans
Plans are billed monthly or yearly, as you choose at checkout, and renew automatically at the end of each billing period at the then-current price until you cancel. We will tell you in advance if the price of your plan is going to change.
Changing plans: upgrades take effect immediately, and you are charged the prorated difference for the rest of the current billing period. Downgrades, and switches from yearly to monthly billing, take effect at the end of the current billing period.
Cancelling a plan: cancellation stops future renewals. You keep your plan's access until the end of the period you have paid for. Cancelling does not refund the current period.
5. Recurring credit top-ups
A recurring top-up buys the number of credits you choose every month until you cancel it. Credits from top-ups carry over and do not expire. Cancelling a top-up stops future monthly purchases; credits you have already received stay in your balance.
6. Auto Top-Up
Auto Top-Up is optional and is off unless you turn it on. When it is on and your credit balance falls below the threshold you choose, we automatically charge your saved card for the number of credits you choose. You can also set a monthly spending limit, and Auto Top-Up will not make a purchase that would exceed it. The limit applies to the price of the credits before tax; applicable tax is added to each purchase. You can change or turn off Auto Top-Up at any time in your billing settings; turning it off stops future automatic purchases.
7. Archive storage
Archive storage is billed monthly per gigabyte for the amount of archive space you buy, until you cancel it.
Cancelling archive storage ends archive billing immediately. When archive billing ends, whether because you cancel, an archive payment fails, or archive access ends for another reason, every archived video is automatically unarchived and enters a new 30-day retention period. You do not need to empty the archive yourself, and nothing is deleted immediately. To keep the videos, download or re-archive them before the deadline. The details are in the Digital Delivery and Storage Policy.
8. Separate controls
Plans, recurring top-ups, Auto Top-Up and archive storage are separate purchases with separate controls. Cancelling one does not cancel the others. Check each one in your account settings to be sure you have stopped everything you intend to stop.
9. Failed payments
If a payment fails, we or Stripe may retry it and may ask you to update your payment method. Until a renewal is paid, the benefits of that renewal may not be available. For archive storage, a failed payment ends archive billing as described in section 7.
10. Refunds
Credit purchases, subscription payments and archive storage payments are non-refundable, except as described in our Refund Policy or required by applicable law.
